AERO Sustainable Material Technology is committed to respecting your privacy and being a responsible custodian of the personal information that we collect in the course of operating our business as a provider of governance, risk and compliance consulting services.

This privacy notice sets out how we collect, store, process, transfer, share and use your personal information, and which rights and options you may have in this respect when you access our digital spaces or when we provide you with consulting services. Please also refer to our Cookie notice which explains the use of cookies and other web tracking devices on our websites.  This notice forms a part of our compliance with those laws that protect your right to privacy.

“Personal information” means information that identifies, relates to, describes, or can reasonably be linked, directly or indirectly, to a specific natural person. It does not include information that is considered anonymous, de-identified, or aggregated by applicable law.

“Digital spaces” means the websites we operate, our blogs, our social media pages, and our digital communications (e.g. video conference meetings and emails).

Types of information we collect

When you use access our digital spaces or when we or other interact with you, the personal information we collect may include:

  • Identity information such as your name, telephone number, postal or e-mail address, social media identifiers, signature, and if you supply it to us as part of a client on-boarding process, government issued identification numbers (such as your social security number or passport number).
  • Demographic information, which may include sensitive personal information or information about protected classifications, such as your age, gender, race, sexual orientation or marital status.
  • Professional and educational information related to your occupation, such as your current or previous employers, job titles, or other information about the organization with which you are connected. You might also provide us with information about your professional qualifications or your education, such as your language proficiency, professional memberships, qualifications or certifications.
  • Health Information, such as accessibility requirements or dietary restrictions, for example if you register to attend any events organized by us.
  • Geolocation information, such as your city, state or province, and country.
  • Audio and visual information, such as your voice and likeness as captured in photographs, video, or audio recordings if you attend our events, agree to recorded video conferences or send us voicemail or similar.
  • User content, such as comments or other material you post to our social media pages, website or blogs.
    Preferences, such as your stated interests, how frequently you wish to receive our news alerts or other communications.
  • Information that you choose to provide.

We may also collect information about you from other sources, such as from our strategic and business partners, clients, business intelligence services and from public sources, such as news organizations, social media sites and your own publications.

Automatic collection of personal information

Using cookies and other digital code, we may automatically collect personal information about you when you access our digital spaces, as well as information about the device you use to access those spaces. We may collect:

  • Identity information such as your name, e-mail address, IP address or username
  • Technical information about the device you used, such as its operating system or the browser you used
  • Information about your location
  • Information about the content you view on our website
  • Information about your access to our digital spaces on or via a social media site

How we use your personal information

We use the personal information we collect only to the extent necessary for these purposes:

  • To respond to your inquiries or communications
  • To send you news updates and marketing communications
  • To provide consulting or other services requested by you or your organization
  • To operate and improve our digital spaces and our business services
  • To understand how users access and use our digital spaces, including by generating and analyzing statistics
  • To manage our own business and your or your organization’s relationship with us including our internal administration systems and processes
  • To comply with our legal obligations such as for anti-money laundering, fraud and crime prevention, and for record keeping. This may include us making automated checks of personal data you provide against databases, contacting you to confirm your identity or making records of our communications with you for compliance purposes

We may also use anonymous, de-identified, or aggregated information that does not reasonably identify you as an individual for any purpose.

How we share the information we collect

We do not sell your personal information or share any personal information that can reasonably identify you except when, and only to the extent that, you have given us permission or as needed to comply with our legal obligations.

We may disclose your personal information to:

  • Our strategic partners in order to provide you with services that you have requested from us
  • Our service providers, such as analytics providers, web-hosting provider, or information technology providers for the purpose of enabling us to provide you with services that you have requested from us
  • Law enforcement agencies and government authorities to the extent required by law and only when the applicable legal or administrative process has been followed by those agencies or authorities

We may share anonymous, de-identified or aggregate information that cannot reasonably identify you for any purpose, as permitted by applicable law.

Legal basis for processing your information

We rely on the following basis for processing your information:

  • Consent, if you have consented expressly or implicitly by accessing our digital spaces
  • Performance of contracts, if we have entered into a contract with you or your organization we may need to collect and process your information in order for us to perform that contract
  • Legitimate interest, in order to improve our consulting services and digital spaces and for marketing purposes
  • Legal obligations, where we are required to process your information in order to comply with applicable law

Protecting and storing your information

We use commercially reasonable safeguards to protect your information.  When we provide you with consulting services, we may use enhanced safeguards and we will discuss these with you prior to concluding the contract.  We may store information in countries where our strategic partners or our service providers have facilities and we review service providers prior to engaging them to ensure that they use commercially reasonable safeguards.

Your rights

We operate across borders and you may have various legal rights in respect of personal information depending on applicable law.  Those rights may include:

  • The right to request access to personal information of yours that we process
  • The right to update or correct your personal information if you believe it is incomplete or inaccurate
  • The right to delete your personal information
  • The right to object to us processing your personal information in a certain way
  • The right to restrict transfers of your personal information to third parties
  • The right to withdraw consent to us processing of your personal information
  • The right to complain to a privacy supervisory authority

We may update this Privacy notice to take into account changes in law or best practice.  If we make any material changes to the information we collect, the way we use it, who we share it with, or how we protect and store it, then we will provide you with advance notice on our digital spaces.
